The Role
Mackenzie Jones are currently recruiting on behalf of a top tier legal firm who are looking to recruit a Personal Assistant to the Firm’s Chairman for their offices in Dubai. It is a dynamic opportunity for those who are continually seeking new challenges.
• Extensive experience in working with Senior Management
• A quick analytical mind with the ability to think laterally and creatively to resolve problems
• Strong organisational skills together with the ability to prioritise and delegate effectively
• The ability to communicate effectively (both orally and in writing) with a wide range of people
• Well versed in the use of IT with the ability to exchange information and data internally & externally.
• Implementing all administrative processes to provide the Chairman with the necessary support in organizing, preparing and attending all business meetings, presentations and day to day business correspondence.
• Organize and maintain extensive filing system
• Maintains client confidence by keeping client/attorney information confidential.
• Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions; maintaining transcripts; documenting and maintaining evidence.
• Maintaining a daily log of appointments, meetings, travel plans and social events calendar in a timely manner and advising them of any possible conflicts if any in scheduling the meetings
• Processing all incoming correspondence such as regular mail, courier envelopes, e-faxes, e-mails, telephone calls which are addressed to the Chairman; and where required, ensuring that these are acted upon in an efficient and timely manner
• Ensure the correct and smooth flow of paperwork to and from the Chairman’s office
• Maintain organized filing and follow-up systems for all correspondence‘s ensuring that relevant files are kept in order and up to date
• Making travel arrangements which includes flights, hotel reservations, visa requirements, limo services and all other related arrangements
• Maintaining total confidentiality at all times with matters relating to the Chairman’s office, in particular and the Firm, in general
• Attending to all other work assigned on day to day basis, working efficiently and managing your time effectively.
Requirements
The successful candidate will have a high level of efficiency, should be self-motivated, well organised, multitask and be a good communicator.
She must have sound judgment, work with the up most confidentiality and work well under pressure with an eye to detail
